Director of Materials And Publications (DMP)

Introduction:
The university initially known as Andhra Pradesh Open University was established under A.P. Legislative Act ( APOU Act 1982). Subsequently, the university was renamed on Dr.B.R.Ambedkar Open University  on 26th October, 1991 by Government of Andhra Pradesh. It aims  to provide opportunities of higher education to all sections of society to meet the changing individual and social needs. All the programmes offered by the university are recognized by the University Grants Commission, New Delhi  ”The motto of the university is education for all” there are different branches/centres like  LSSB, DMP, Centre for Staff Training  and Development, EMR&RC, and GRADE Centre, Administration Branch and Examination Branch. The main function of the university D.M.P. is to produce study material after draft copy of Book received from Academic Branch  of prepares quality materials for learning  through Telugu, English Urdu mediums. Previously it was named as D,M,P. But recently it was changed and renamed as Directorate of Materials and Publications on 30-07-2022. The main aim of Branch is Distribution of books to the students who have taken admission.

Objectives of the D.M.P. Branch:

  • Directorate of Materials and Publications is an important organ of the university. It aims to equip the university with stationery, Machinery, consumables and other goods and services according to specific requirements of the university. 
  • The Study Material House is responsible for delivery of the printed course material from various printers and maintenance of the stock of the course materials in systematic way and dispatching same to the students when an Academic year starts.
  • To a large extent it has mechanized the process of arranging lifting and dispatching of the course material. There are 179 study centres located the states in Telangana and Andhra Pradesh. Among these 179 Study Centres, 14 Study Centres are located in Twin Cities i.e. Hyderabad and Secunderabad. To the students of these study centres who got admission to P.G. I Year and U.G.I/II/III years all semester course material is being issued at University Campus only. Out of the remaining 165 study Centres 89 study Centres are located in the state of Telangana and 76 Study Centres are located for the state of Andhra Pradesh.

  • To assist students by dispatching the books to their postal address.

Functions:
The Directorate of Materials and Publications branch is one of the important branches of the university.   Basically, the branch is the   centre of all activities of the university and it is engaged in planning for the future expenditure. Accordingly, it procures material in required quantities and distribute to the Branches within the university (RCC) centres and study centres of the university. It is headed by a Director and consists of three key sections viz. further; it provides Annual Maintenance Contract (AMC) for maintenance of the university Assets, computers, printers, scanners, Xerox machines etc.

  • Purchases
  • Printing
  • Study Material House.

Functions of Purchase Section:

  • To collect all the indents sent by different departments and consolidate the needs of all departments.
  • To finalize the purchase consolidated needs and procure purchase them.
  • Distributing the procured items to the indenters.
  • Disposal of unserviceable  material

Function of the Printing Division:

  • Estimate the number of students going to be admitted next academic year (copies of the books needed).
  • To release paper from warehouse to printers and to  coordinate the printing process.
  • Hand over the printed copies of books to SMH division.
  • Prints other material like application forms, prospectus for eligibility test students intimation letters, Answer scripts, convocation material , calendar diaries, greeting  cards etc.

Functions of the S.M.H.:

  • Maintenance of Book store inventory.
  • To verify the available stock and informs the net requirements to print division.
  • To maintain stock register.
  • To dispatch study materials to students. 
Infrastructure:
  • The DMP Branch has Study Material House as main internal establishment.
  • The storage point of (SMH) and dispatch section is responsible for taking delivery and distribution of courses material to the students through by the express parcel to their residential address.
  • The books are packed through” Books strapping machines” according to different courses like (U.G.), (P.G.), (M.B.A) etc.
  •  Maintenance of study centre’s across the state.
  •  Book’s house inventory.
  •  Warehouse containing paper’s to print.

Achievements: 
The Material Production Branch plays vital role in production and distribution of study material to the students enrolled for UG/PG/Diploma courses offered by the University. As soon as admissions are completed, LSSD will give the list of students along with address labels to the Material Production Branch to send the course material to the students. The activities of the Material Production Branch prepare bundles for each address labels depending up on the weight and size of the study material transport the books bundles to the students who took admission Materials delivered directly to their residential addresses in Telangana and Andhra Pradesh for the Academic Year 2022-23 onwards.  

  • During the Academic Year 2022-23 Directorate of Materials’ and Publications has taken a decision to send study material directly to learners’ postal address instead of study centres. 
  • Directorate of Materials’ and Publications is producing study material in economy mode though the number of students increasing year by year, expenditure is constant.
  • Directorate of Materials’ and Publications requested for New post Office to ease the distribution of books.
  • Directorate of Materials’ and Publications has taken an initiative to help students by publishing competitive Books.

Staff working:    
This branch performs Materials Production. It is headed by “DIRECTOR” three Key functions of the branch include.

  • Purchase
  • Printing
  • Study Material House

There are about 43 employees including 4 Officers to attend to work pertaining to this branch.  Staff working under three Section’s attend to different work to fulfill obligations of the branch under the control of “DIRECTOR”.

Branch establishment documents EC/FC resolutions:

  • The university was setup on 26th August, 1982
  • The Executive Council finalizes the infrastructure needed by department and gives the list to Finance Committee.
  • EC needs to approve infrastructure needed by the branch
  • Finance Committee grants the funds according to list of items submitted by Executive Committee.
